Community Use of Schools

Community Use of Schools is an initiative through the Ontario Ministry of Education that supports access to school space outside of school hours for not-for-profit community groups. Review our Community Use of Schools policy which includes the rate schedule and criteria for reduced rental rates.

Regulations and Conditions

You must read and comply with the following regulations and conditions set by District School Board Ontario North East for community use of schools.

REGULATIONS AND CONDITIONS FOR USE OF SCHOOLS

1. The Principal is the key person in the maintenance of good community relations and is therefore the contact person for community use of schools.  The Principal provides liaison with groups in the school and through direct communication is aware of community needs and can effect inter-agency cooperation and access to facilities.

2. When arrangements are being made for use of school facilities the Principal is to ascertain who is to be responsible.  The Principal should then direct any requests or complaints to the designated person.

3. The applicant shall be responsible for the enforcement of the regulations listed herein both in respect to members and guests of the applicant and by members of the public attending functions conducted by the applicant.

4. Use of school facilities by external groups or individuals shall not conflict with either regular day school or Board adult and continuing education programs.

5. School functions take priority over use of the school by community groups.  The Principal is requested to give adequate advance notice of cancellation of a group activity.

6. The applicant undertakes that the use of any facilities under this permit will be so conducted as to create no interference with normal school operation.

7. The applicant will be responsible for any and all damage or unusual "wear and tear" to school property arising out of use under this permit.  Should Board property be damaged, the group will be charged for the repair of the damage.

8. No smoking will be allowed on school premises.

9. No alcoholic beverages or illegal substances will be allowed or consumed on school premises.

10. Permits requiring alcoholic beverages on school premises for special functions must receive special permission from the Board.

11. Games of chance or gambling in any form are not permitted except legally licensed lotteries approved by the Board.

12. The times for use of the facility are limited to the hours of use approved on the permit.

13. The areas of use are restricted to those approved on the permit.  All other parts of the building, except the associated corridors and washrooms, are out of bounds.

14. No equipment shall be moved or operated unless applied for and approved on the permit.

15. Groups using the gymnasium for athletic activities must wear proper footwear which will neither mark nor damage gymnasium floors.

16. Aisles and exits must be kept free from obstruction in case of fire or panic.

17. The total number of admissions to any one performance shall not exceed the seating capacity of the gymnasium or auditorium as determined by the local Fire Department.

18. In the event that the premises are not being used properly, or because of improper conduct, the Principal after endeavouring to gain the co-operation of the group, may terminate the arrangements.

19. The applicant will show proof of insurance naming District School Board Ontario North East as the co-insured for a minimum of $2,000,000 for events which no alcohol is served and $10,000,000 for events at which alcohol is served.

20. The applicant will protect, indemnify and save harmless the District School Board Ontario North East, its servants or agents, from all claims for damages that may arise out of the use of buildings or equipment by the applicant.  The lessee will assume responsibility for damage, infringement or royalty rights, charges of slander, sedition and subversion which may occur as a result of public performances or speeches.

21. At any time the Board reserves the right to cancel any permit for the use of schools at any time.
